Additionally, they prepare and submit required external filings (unclaimed property, 1099s, etc.) and work with others to process daily mail count. The Senior Bookkeeper will also be cross trained in Accounts Receivable functions and serve as backup for other team members as needed.

Position Summary:

The Senior Bookkeeper is responsible for all Accounts Payable functions and is the primary administrator of Accounts Payable

related software systems, including providing training and support for those systems. Additionally, they prepare and submit required external filings (unclaimed property, 1099s, etc.) and work with others to process daily mail count. The Senior Bookkeeper will also be cross trained in Accounts Receivable functions and serve as backup for other team members as needed.

Principal Job Duties & Responsibilities:

  • Processes all payments - Invoices, Contract Payments, & Expense reports, through the Accounts Payable System (PN3): Process invoices in PN3/Navision Accounting systems (includes entering invoices, obtaining approvals, printing checks/creating EFT payments); Review documentation for compliance with expense policies and proper coding; Provide staff and volunteers with guidance in applying expense policies; Process check requests, voids, and stop payments; Respond to inquiries and resolve issues related to accounts payable activity; Prepare weekly cash forecast for Controller; Manage and process recurring payments schedules; Manage credit application for direct billing; Perform monthly reconciliation and closing of AP accounts; Set up and maintain vendor files and records; Manage Accounts Payable records retention. 
     
  • Serve as primary administrator of AP related software systems including paperless AP system (PN3): Navision AP module, and Wells Fargo corporate cards. Responsible for all system training and support for staff and volunteers. 
     
  • Perform mail count (3 times per week) with other team members. 
     
  • Prepare external reporting documents: Unclaimed Property – reconcile, research, and resolve outstanding uncashed Accounts Payable checks. File annual unclaimed property report to WA Department of Revenue.
     
  • Download UPS account on the weekly basis and maintain prepaid postage accounts (Pitney Bowes, bulk mail, postage due & NW Lawyer accounts) ensuring that balances are reconciled monthly, and enough postage is in accounts to cover monthly expenses. 
     
  • Responsible for administering all corporate credit cards: Reconcile monthly corporate credit card billing and post charges and payments to Navision, Review and making corrections to any G.L. codes requested by management, Manage employee credit card agreements and card inventory.

Abilities/Skills Required:

  • Excellent bookkeeping skills in both accounts payable and receivable
  • High level and acute accuracy and attention to detail
  • Excellent time management skills and ability to handle multiple tasks 
  • Ability to work independently and as part of a collaborative team 
  • Excellent customer service and communication skills
  • Ability to work very well under pressure (high volumes, deadlines, interruptions) 
  • Ability to quickly learn new software and grasp new concepts as related to the position
  • Problem-solving skills, and logic/knowledge of accounting principles required to research/resolve problems and issues 
  • Excellent computer skills, including proficiency with accounting software, Excel, Word, and Outlook. 
  • Proficient with 10-key and general office machines (fax machine, copier, scanner, etc.)

Position Working Assessment:

Essential functions of this job that must be performed, with or without reasonable accommodation:

Work is performed in an office (onsite and hybrid) environment five days per week. Must be able to sit at a computer for long periods of time, use various office equipment, and interact with staff, members, customers, and vendors.

Note: This position will be expected to work on-site in our Seattle, WA offices a minimum of three business days a week, with the opportunity to also work remote occasionally. This is not a primarily remote position due to the job duties required. 

Education Required:

  • Two-year Accounting Degree and equivalent work experience. Knowledge of basic accounting principles and accounts payable issues required.          

Experience Required:

  • Two to five years of experience in accounting or bookkeeping, demonstrating knowledge and broad understanding of accounting principles and bookkeeping procedures. Must have accounts payable work experience, some account receivable experience is desired.  Must have worked with mid-level accounting software.
